4 HR nightmares scarier than Halloween – and how to put an end to them

Individually, these may seem like minor annoyances. But with multiple locations, shift-based operations, a larger workforce and several HR processes running in parallel, they can quickly turn into time-consuming, hard-to-track ways of working.

We have collected 4 typical HR horrors - and what can make them less scary.

1. The Email Vampire – draining the life out of the inbox

Important information, policies, reminders, attachments and questions all end up in one endless email thread. Then come the familiar lines: “I didn’t see it.” “Can you send it again?” “Which attachment is the latest version?”

And then there are those colleagues who never receive the messages in the first place. They do not sit in front of a computer all day, they do not have a company email address, they work a different shift, or we are simply trying to reach them through a channel that is not part of their daily routine.

In these cases, HR tries to deliver the same information through managers, printed notices, chat groups or forwarded messages. The more internal communication we try to manage through email or separate channels, the harder it becomes to ensure that truly important messages reach the right person at the right time. Meanwhile, HR spends more and more time resending, searching and following up.

What makes it less scary? A central, mobile-accessible, targeted communication platform where employees receive only the information relevant to them, company information does not have to compete with everyday emails, and everything can easily be found again later.

2. The Onboarding Ghost – when a new hire is left alone in the process

A new colleague arrives, but it is unclear what should happen before their first day, during their first week or throughout their probation period. HR sends the information, the manager assigns a few tasks, IT handles access permissions - but there is no single place showing who has completed what and what still needs to be done.

Onboarding can easily become dependent on individual people. The same information needs to be sent again, tasks have to be tracked separately, and the new hire often has to ask questions because they do not know what comes next.

What makes it less scary? A structured onboarding process where the necessary information, tasks and next steps can be prepared in advance, and everyone involved can see how far the onboarding process has progressed.

3. The Training Witch – when the real magic begins after the training

Mandatory training, occupational safety materials, compliance courses or internal learning content. The content is ready, but that is when the real nightmare begins: who received it, who started it, who completed it, who still needs a reminder, and what can we show if completion needs to be proven later?

When training records are managed in spreadsheets, emails or separate systems, HR and L&D spend a significant amount of time on manual follow-up.

What makes it less scary? Digital learning processes, automatic reminders and transparent completion data that clearly show who is at what stage.

4. The Bureaucracy Mummy – when paperwork buries HR

Leave requests, document requests, data changes, certificates, HR questions or approvals. None of these are complicated on their own – the problem begins when every request arrives through a different channel, statuses need to be checked separately, and the HR inbox becomes the process management system.

On top of that, the necessary information is not always easy to find. A policy on the shared drive. Onboarding material in an email. A training document in another system. An HR form in a folder. Location-specific information in a chat group. And somewhere, surely, there is also the latest version.

The employee asks where their request stands. HR searches for the email. Someone has not approved it yet. A document is missing. Meanwhile, information is scattered across too many places, leading to more searching, outdated versions being used, and repeated questions. Each task is small, but all that small-scale administration quickly adds up.

What makes it less scary? Digitalized HR requests, clear statuses and a well-structured, easily searchable knowledge base where employees can find the information they need on their own, without every step having to be forwarded and followed up manually.

What do these HR horrors have in common?

It is not that HR is doing something wrong. Rather, manual solutions that were once manageable no longer scale as the organization grows. With more employees, more locations, more shifts, more new hires, more training and more HR requests, it becomes increasingly difficult to see the entire employee journey clearly through emails, spreadsheets and separate systems.

A good employee experience is not good simply because there is another new platform. It is good when employees can easily access what they need, HR has fewer things to track manually, and the status of important processes becomes visible.

That is why Blue Colibri treats internal communication, onboarding, digital learning and HR administration as parts of the same employee experience.
